VIOLETTE_FR is Hiring a Creative Operations Coordinator (Brooklyn/hybrid)
Salary Range: $70K-$75K
This role supports the planning, tracking, and coordination of integrated creative and marketing initiatives. Reporting to the Director of Creative Operations, this role will work cross-functionally across Creative, Production, Brand Marketing, Social Media, Retail, and external partners to help organize timelines, align deliverables, and maintain visibility across projects. This person will play a key part in supporting teams as they move initiatives forward, helping to ensure that work is delivered on time, on brief, and to a high creative standard.The ideal candidate is highly organized, detail-oriented, and adept at managing multiple workstreams simultaneously. This role sits at the intersection of creative development and marketing execution, requiring someone who can build and maintain structured workflows while remaining flexible and supportive of the creative process.

REQUIREMENTS
3 years of project management / coordinator experience
Advanced knowledge of Asana or similar project management software, Figma, Google Suite, DAM Systems
Strong understanding of creative development across packaging, digital, and content production
Familiar with content needs across ecommerce, social media, and paid channels
Experience with photo and video production logistics is preferred
Proven success working with all levels of management
Strong attention to deadlines and budgetary guidelines
Strong written and verbal communication skills
RESPONSIBILITIES
Support the Director of Creative Operations and Production Director in coordinating end-to-end planning for 360° product launches, campaign pre- and post-production, retail/VM updates and product packaging initiatives, helping to ensure smooth alignment across creative, marketing, and production teams
Serve as a bridge between creative, marketing, retail, product and production teams to ensure strategic alignment
Assist in project planning from creative briefing and requirements definition through deployment, establishing clear schedules, scope, feedback loops, implementation plans, and risk mitigation strategies
Assign, track, and manage internal and external resources to ensure project efficiency, balanced workloads, and on-time delivery of all deliverables
Coordinate internal product and marketing asset deliveries, ensuring timely availability for shoots and team reviews
Support documents in managing revisions, approvals, and feedback loops
Establish and maintain relationships with relevant client stakeholders, providing day-to-day contact on project status and changes
Proactively assess overall project status, identifying roadblocks or dependencies and adjusting scope, timelines, or resourcing as necessary to ensure successful completion
Maintain dashboards or reporting systems for real-time visibility into project progress and KPIs
Lead post-mortem and retrospective assessments to evaluate project performance, identify learnings, and recommend opportunities for operational improvement and increased efficiency
Support in tracking budgets and resourcing allocations including freelance creatives, vendor and agency partners
Own and maintain the project management tool and related workflows, driving full team adoption, consistency, and best practices across all projects
Collaborate with the Digital Asset Manager to ensure all final deliverables are accurately uploaded, organized, and properly tagged in the VFR Bynder system
Ensure team adoption of project management tools and best practices; provide training and guidance as needed
